Guild Owner Setup Guide

Getting Set Up on BigBoyBot

A quick walkthrough of what to do the first time you log into the Guild Portal — subscribing your server, then setting up channels and roles.

Part 1
Subscribing Your Server
1
Log in to the Guild Portal
Go to dashboard.bigboybot.online/portal and sign in with the Discord account that owns (or administers) your server.

2
Follow the guided tour
The first time you log in, you'll be guided through the Dashboard by an interactive wizard that walks through every tab and menu — giving you a complete overview of the Dashboard before you do anything else.
Click Next on each tooltip to move through the tour. Don't click outside the tooltip — clicking anywhere else on the page closes the wizard early, and it needs to be completed.
ℹ️ Informational only — just follow along, nothing to set up yet

You must subscribe before setup will work
Guild setup — creating or mapping channels/roles — requires an active subscription. Without one, your game guild stays deactivated and none of the setup commands will run, even if you've already gone through the wizard.
⚠ If you see a message like below, it means the subscription is missing or has lapsed — subscribe (or resubscribe) from the Subscriptions tab to fix it. No setup is lost — your existing role/channel mappings are kept. Guilds tab showing a deactivated game guild with a message to resubscribe from the Subscriptions tab

Open the Subscriptions tab
Find your server's card and click Change Plan to see the available tiers and add-ons.

Pick a tier and check out
Choose the tier that fits your guild, then click Subscribe. Add-ons (like Multi-Guild or War Helper) can be added the same way — they'll show as Added once selected.

Part 2
Setting Up Your Server
6
Open the Guilds tab
Once subscribed, go to the Guilds tab. Any game guild that isn't set up yet shows a Setup Required banner — choose how you want to configure channels and roles.

⚔ Let BigBoyBot create everything
Recommended for a fresh server. The bot creates every category, channel, and role for you automatically.
  • Takes up to ~30 seconds
  • No existing setup needed
  • Nothing to configure — just click and wait
🔧 I already have channels/roles
For servers that already have their own war channel/role structure — map your existing ones instead of creating new ones.
  • Map each required role (Champions, WarAdvisor, TitanAdvisor, HeroAdvisor)
  • Map your war channel categories
  • Optional channels (war-status, announcements) can be skipped for now
Here's what Auto-Setup actually creates in your Discord server — every war category and channel:
War channels category and Titans category channels created by Auto-Setup
War Channels + Titans
Ice and Fire category channels created by Auto-Setup
Ice + Fire
Citadel, Foundry, and Lighthouse category channels created by Auto-Setup
Citadel, Foundry + Lighthouse
Barracks and Mage Academy category channels created by Auto-Setup
Barracks + Mage Academy
And the 4 roles it creates:
HWA-Champions, HWA-WarAdvisor, HWA-TitanAdvisor, HWA-HeroAdvisor roles created by Auto-Setup
HWA-Champions, HWA-WarAdvisor, HWA-TitanAdvisor, HWA-HeroAdvisor
Those same roles are what each category's permissions are mapped to (highlighted below):

The HWA roles mapped into each category's permissions
If you'd rather map your own existing channels/roles instead, here's the manual mapping form:

⚠ The channels/roles shown above are the ones originally created by Auto-Setup. You can freely rename any of them to whatever your guild prefers — BigBoyBot maps to the underlying Discord channel ID and role ID, not the name, so renaming has no effect. You'll only need to remap if a channel or role is deleted and recreated, since that generates a new ID.
7
Confirm setup completed
A green Setup Completed Successfully banner confirms it worked. Your Discord server should now have the BigBoyBot channels/roles in place.
✅ If it fails, a red banner will show with a Retry button — just click it again
8
Members join automatically
Members are assigned to your game guild automatically based on the Discord roles they hold — there's no manual registration command needed. Anyone added to the Champions role is automatically picked up and shown on the Members tab. If a member somehow holds roles for two game guilds at once, you'll see a conflict badge you can resolve from there.

If your subscription supports multiple game guilds and you create another one, the Members tab shows exactly which members are assigned to which game guild — each one synced to its own Champions role, so nothing gets mixed up between guilds.

Setup complete — welcome aboard!
That's it — your server is fully set up. Enjoy BigBoyBot, and welcome aboard!
